This Privacy Policy describes how we collect, use, disclose, retain and protect personal data in connection with our websites, Member services, College services, affiliate/referral activities, communications and related technology.

2)Scope

This Privacy Policy applies to personal data processed through Collegelinkr websites, mobile applications, forms, lead-management tools, college/member dashboards, affiliate/referral systems, support channels and related services. Separate notices may apply to specific products, contracts or third-party services.

3)What Personal Data We Collect

• Identity and profile information: name, age/date of birth where relevant, gender where provided, profile photograph and similar profile details.
• Contact information: mobile number, email address, city, state, postal address and preferred communication channel.
• Education information: school/college details, qualification, marks/grades where provided, preferred course, preferred college, admission location, intake and application information.
• Member/Affiliate information: occupation, business/organisation, professional profile, referral code, onboarding status, KYC/tax information and payout information where required.
• College information: institution name, authorised contact details, programme information, application information, commercial contacts and account administration information.
• Transaction information: payments, invoices, refunds, commission/incentive records and related financial transaction identifiers.
• Technical information: IP address, device information, browser/app details, operating system, approximate location derived from network/device settings where enabled, logs, usage data and security events.
• Communication information: messages, support requests, call notes, emails, WhatsApp/SMS/RCS responses and other interactions with our authorised service providers or us.

4)How We Collect Personal Data

• Directly from you when you register, complete a form, create a profile, apply for a course, join as a Member/Affiliate, communicate with us or request support.
• From colleges, universities, education partners, Members, Affiliates and authorised representatives when they submit information for an admission or business process.
• Automatically through website/application logs, cookies, analytics and similar technologies.
• From public or lawful business sources where permitted, such as institution directories, professional information and publicly available business contact details.

5)Why We Use Personal Data

• To create and manage accounts and profiles.
• To provide college/course discovery, admission assistance, application processing, appointment/meeting services, lead management and related platform functionality.
• To connect students with appropriate Members, colleges and authorised partners.
• To track applications, referrals, attribution, commissions/service charges, payouts and programme performance.
• To communicate with users regarding applications, account activity, service updates, support and operational notices.
• To improve products, personalise relevant experiences, analyse usage, prevent abuse, and protect the platform's security.
• To send marketing communications where permitted and, where required, based on consent or another lawful basis.
• To comply with legal, tax, accounting, regulatory, contractual and dispute-resolution requirements.

6)Consent and Other Lawful Grounds

Where applicable law requires consent, we seek consent through a clear notice and appropriate affirmative action. The Digital Personal Data Protection Act, 2023 establishes a framework for the processing of digital personal data and recognises the rights of individuals; the Digital Personal Data Protection Rules, 2025 further specify notice, consent, and security-related requirements, with staggered commencement dates. Where processing is permitted on a lawful use or other legal basis, we may process data without seeking separate consent to the extent allowed by law.

7)How We Share Personal Data

• Colleges, universities and authorised education partners, where needed, to process an application, respond to a request, arrange counselling, evaluate eligibility, or complete admission-related activities.
• Members / Admission Educational Consultants where they are authorised to assist with an enquiry or admission journey and the disclosure is necessary for the requested service.
• Technology, hosting, analytics, communications, payment, customer-support, KYC, fraud-prevention and other service providers acting on our instructions and subject to appropriate contractual safeguards.
• Professional advisers, auditors, insurers, financiers or regulators where reasonably necessary.
• Authorities, courts or law-enforcement bodies where disclosure is required or permitted by law.
• Potential buyers, investors or successors in connection with a business transfer, merger, restructuring or financing, subject to confidentiality and applicable law.

We do not sell personal data as a standalone product. Any sharing is based on the purpose for which the data is processed and applicable contractual, consent or legal requirements.

8)Colleges, Universities and Education Partners

When you ask Collegelinkr to connect you with an institution, we may share the information needed to respond to your enquiry or process an application. Colleges may independently process your data under their own policies and legal obligations. Once information is transferred to a college as an independent controller/data fiduciary, that college's own privacy notice may also apply.

9)Members, Affiliates and Referral Tracking

• Affiliate/referral identifiers, referral links/codes, timestamps and attribution events may be recorded to determine eligibility for incentives and prevent duplicate or fraudulent claims.
• Member profiles may be used to route relevant student leads, support applications, track activity and calculate eligible service charges or referral incentives.
• Affiliates must collect/share personal data lawfully and may not upload scraped, purchased, fabricated or unauthorised personal data.

10)Student / Applicant Information

Students may provide information about academic qualifications, preferences, applications and supporting documents. We use such information to facilitate counselling, discovery, applications, tracking and communications. Sensitive documents should be submitted only through approved channels and only when necessary for the requested process.

We do not ask for passwords, OTPs, ATM PINs, UPI PINs or similar authentication secrets for ordinary admission support. Users should never disclose such credentials to Collegelinkr or an Affiliate.

11)Communications

• We may send service and transactional communications by SMS, email, WhatsApp, RCS, push notification, IVR or other approved channels.
• Marketing communications may be subject to consent, opt-out controls and applicable telecom/marketing requirements.
• Operational communications required for an active application, account or security event may continue even after marketing preferences are changed.

12)Cookies, Analytics and Similar Technologies

We may use cookies, SDKs, pixels, local storage and similar technologies for essential functionality, authentication, security, analytics, attribution and marketing. Where required, we provide appropriate controls for consent and preferences. Disabling some technologies may affect platform functionality.

13)Payments and Financial Information

Payments may be processed through authorised payment service providers. We may receive transaction identifiers, status and limited payment metadata. Full card/bank credentials may be handled directly by regulated payment providers and are not ordinarily stored by Collegelinkr unless specifically required and lawfully supported.

14)Data Retention

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, to provide services, establish or defend legal claims, meet accounting/tax obligations, prevent fraud, resolve disputes, maintain security and satisfy applicable law. Retention periods vary by data type and purpose.

When data is no longer required, we may delete, anonymise or securely dispose of it, subject to lawful retention requirements.

15)Data Security

• We use reasonable technical and organisational measures appropriate to the nature of the personal data and the risks involved.

18)Children and Minors

Under the Digital Personal Data Protection Act, a child is an individual who has not completed eighteen years of age. Where services involve children, Collegelinkr will apply the consent, safety and processing restrictions that are legally applicable, including appropriate parent/guardian mechanisms where required. Affiliates and Members must not knowingly collect or share a child's personal data outside approved processes.
